How Rizon Maps AI collects, uses, stores and protects your information.

Rizon Maps AI is committed to protecting the privacy of clients, website visitors, and members of the public whose information passes through our systems. This Privacy Policy explains how Rizon Maps AI collects, uses, stores, discloses and protects personal information in connection with the services offered, including website development, hosting, Visibility Dashboard access, the Rizon AutoDealer Management Platform, and professional email configuration.

Rizon Maps AI operates globally and serves clients across Australia, New Zealand, the United States, the European Union, and other regions. This policy is designed to comply with applicable privacy legislation across these jurisdictions, including but not limited to the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles, the New Zealand Privacy Act 2020, the European Union General Data Protection Regulation (GDPR), the United Kingdom GDPR, and applicable United States state and federal privacy frameworks.

By using Rizon Maps AI services, purchasing a plan, or accessing the client platform, the client acknowledges that they have read and understood this Privacy Policy and that their personal information will be collected and used in accordance with it.

If you submitted a trade-in enquiry through a dealership's website, Section 7 explains what happens to those details.

1. Who We Are

Rizon Maps AI is a managed digital infrastructure provider offering website development, search visibility services, AI visibility services, professional business email configuration, Visibility Dashboard access and the Rizon AutoDealer Management Platform to businesses worldwide. Rizon Maps AI is based in Australia and operates internationally.

2. Who This Policy Covers

This policy covers two different groups of people.

Our clients. Businesses that purchase a plan, hold a portal account, or use a free trial. For their information, Rizon Maps AI decides how it is collected and used, and is therefore the controller.

Our clients' customers. Members of the public who submit a trade-in enquiry through a dealership's website. For their information, the dealership decides how it is used; Rizon Maps AI only stores and transmits it on that dealership's instruction, and is therefore the processor. Section 7 sets out what this means in practice.

Rizon Maps AI is not the controller of, and has no visibility of, the ordinary visitors to a client's own website.

3. Information Rizon Maps AI Collects

Information provided directly by the client

  • Full name and business name;
  • Email address and phone number;
  • Business address, suburb, state and postcode;
  • Business website address and Google Maps listing details, collected as part of the purchase and identity verification process;
  • Payment information (processed by our payment providers, Stripe and PayPal — Rizon Maps AI does not store card details);
  • Website content, images, logos, and materials supplied for service delivery;
  • Communications sent by email, WhatsApp, or contact forms.

Information uploaded by dealership clients to the Management Platform

  • Vehicle listings, including make, model, year, specifications, condition notes, registration details and pricing;
  • Photographs uploaded to vehicle listings;
  • Records of vehicles marked as sold, and stock-age data.

Information submitted during a 7-day free trial

The same information as above. Trial accounts are complete working accounts, so anything created in one is stored the same way. See Section 12 for how long it is kept.

Information about our clients' customers

Trade-in enquiries submitted by members of the public through a dealership's website. This is covered separately in Section 7.

Information collected automatically

  • IP address;
  • Browser type and version;
  • Pages visited and time spent on the Rizon Maps AI website;
  • Referring website or traffic source;
  • Portal login activity, session records and access logs.

4. How Rizon Maps AI Uses Personal Information

Personal information collected by Rizon Maps AI is used to:

  • Deliver and manage purchased services;
  • Verify the identity and legitimacy of the purchasing party prior to and following purchase;
  • Set up and maintain portal and dashboard access;
  • Process payments through our payment providers;
  • Send service-related communications including onboarding instructions, project updates and billing notices;
  • Deliver trade-in enquiries to the dealership they were sent to;
  • Respond to support requests and resolve disputes or complaints;
  • Improve the Rizon Maps AI platform, services and internal systems;
  • Comply with legal obligations under applicable law;
  • Detect, investigate and prevent fraud, impersonation or unauthorised activity.

Rizon Maps AI does not use personal information for unsolicited marketing communications without prior consent, and never sends marketing to anyone who submits a trade-in enquiry.

5. Legal Basis for Processing Personal Information

Rizon Maps AI processes personal information on the following legal bases, which are recognised under Australian, EU, UK, United States and New Zealand privacy frameworks:

  • Contract performance: processing is necessary to deliver the services purchased by the client;
  • Legitimate interests: processing is necessary to operate, maintain and improve the business, and to protect against fraud and misuse;
  • Legal obligation: processing is necessary to comply with applicable laws and regulatory requirements;
  • Consent: where the client has explicitly agreed to a specific use of their personal information.

Where Rizon Maps AI relies on legitimate interests as a legal basis, those interests do not override the fundamental rights and privacy interests of the individual concerned.

6. Payment Processing

All payments are processed through Stripe and PayPal, globally recognised PCI-DSS compliant payment providers. All transactions are encrypted and handled by those providers, and Rizon Maps AI does not store, access or retain full card details, bank account information or payment credentials at any time.

Each payment provider processes payment data independently and in accordance with its own privacy policy (Stripe at stripe.com/privacy, PayPal at paypal.com/privacy). By completing a purchase through Rizon Maps AI, the client also agrees to the data handling practices of the relevant payment provider as they apply to payment processing.

7. Trade-in Enquiries

Rizon AutoDealer websites include a Sell / Trade-in form, used by members of the public to offer a vehicle to that dealership.

What is collected. Name, phone number, email address, suburb and state, and details of the vehicle offered. Up to six photographs of the vehicle may also be submitted.

Who it belongs to. The information belongs to the person who submitted it, and the dealership decides how it is used. Rizon Maps AI stores and transmits it solely to deliver the enquiry to that dealership. It is not sold, rented or shared with anyone else, and is never used for marketing or sent to any AI platform.

Photographs are kept for a limited time. Photographs are stored only for as long as the dealership needs to review the vehicle — seven days — and are then removed automatically. The written details of the enquiry stay in the dealership's account so they have a record of who contacted them.

Photographs are stripped of hidden data. Every image is re-encoded before storage, which removes the metadata phones embed in photo files, including GPS coordinates. The location where a photograph was taken is not stored.

The notification email. One email is sent, to the dealership. It is sent from an address on the rizonmaps.com.au domain with the customer's own address as the reply address, so a reply goes directly to them.

Once the dealership has it. Anything a dealership downloads, forwards or copies into its own records is under that dealership's control, and its own privacy practices apply.

Requests about an enquiry. The dealership holds the enquiry and decides what happens to it, so contacting them directly is the fastest route. You may also write to support@rizonmaps.com.au.

8. Data Sharing & Third-Party Providers

Rizon Maps AI does not sell, rent or trade personal information to third parties for commercial purposes.

Limited personal information may be shared with trusted third-party service providers solely for the purpose of delivering agreed services, including:

  • Stripe and PayPal — secure payment processing;
  • Hostinger — web hosting infrastructure, server management and email delivery;
  • Google Maps Platform — map display and location data used by the Visibility Dashboard;
  • WhatsApp / Meta — project communication and client support, subject to Meta's own privacy terms.

Trade-in enquiries are shared with one party only: the dealership the enquiry was addressed to, by the notification email described in Section 7.

Search and AI visibility services

As part of the visibility services provided, Rizon Maps AI reads publicly available information about a client's business — the same information the business already displays on its website, Google Business Profile or public directory listings — and uses it to structure and improve that business's online presence.

Rizon Maps AI may also ensure that this publicly available business information is discoverable by AI platforms, search engines and digital discovery systems, which may include OpenAI (ChatGPT), Anthropic (Claude), Google (including Gemini), Microsoft Copilot, Perplexity AI, and other AI assistants and discovery systems as the landscape evolves.

The information involved is business information intended for public visibility. Rizon Maps AI does not submit private personal information, financial data, confidential communications, or any trade-in enquiry data to these platforms.

Each of these platforms operates independently and is subject to its own terms and privacy policies. Rizon Maps AI does not control how they process or store publicly available business information once indexed.

Rizon Maps AI may also disclose personal information where required by law, by court order, by a regulatory authority, or where reasonably necessary to protect legal rights in connection with a payment dispute, chargeback investigation, or suspected fraudulent activity.

9. WhatsApp Communications

Rizon Maps AI uses WhatsApp as a supported communication channel for client onboarding, project support and service updates. When a client communicates with Rizon Maps AI via WhatsApp, those communications are subject to Meta Platforms' own privacy policy and terms of service in addition to this policy.

Rizon Maps AI uses WhatsApp communications solely for service delivery and client support. Message content shared through WhatsApp in connection with a service engagement may be retained as part of the service record for the duration of the engagement and for a reasonable period thereafter for dispute resolution and legal compliance purposes.

Clients who prefer not to use WhatsApp may communicate with Rizon Maps AI exclusively by email at support@rizonmaps.com.au.

10. How Client Information is Used for Service Delivery

Rizon Maps AI collects only the personal information necessary to deliver the services purchased. Business information, content, images and materials provided by the client are used solely for building and maintaining the client's website, dashboard or platform. All client-supplied materials — business name, logo, written content and images — are intended for public display as part of the client's digital presence and are handled with care and confidentiality during development.

Domain & DNS access. The client's domain name remains entirely under their own ownership and control. Rizon Maps AI does not require domain registrar credentials to deliver its services; to connect a domain, the client updates their own DNS settings using instructions provided by Rizon Maps AI. Where a client asks for assistance and authorises it, Rizon Maps AI may access the client's registrar account for the limited purpose of making the agreed configuration change. Rizon Maps AI will never contact a client unprompted to request domain login credentials. If any communication is received claiming to be from Rizon Maps AI and requesting credentials you were not expecting to provide, disregard it and contact us immediately at support@rizonmaps.com.au.

Professional email configuration and support access. Mailboxes and aliases provided on a client's domain are created and administered by Rizon Maps AI as part of the service. Administrative access to those mailboxes is retained for the duration of the subscription so that the service can be configured, maintained and supported without delay.

Setting up professional email also requires configuration inside the client's own email application, most commonly Gmail, so that business mail is received and sent correctly. Many clients prefer Rizon Maps AI to carry out this configuration on their behalf. Where that assistance is requested, the client authorises Rizon Maps AI to access and configure the relevant account by whatever means the client makes available for that purpose, chosen for the client's convenience and variable by agreement at any time. Clients who prefer to configure their own account themselves may do so using documentation supplied by Rizon Maps AI.

Where Rizon Maps AI holds or is given access to a client email account, that access is used solely to configure, maintain and troubleshoot the email service. Rizon Maps AI does not read, monitor, export, disclose or use the content of client email communications for any other purpose, does not use it for marketing, and does not provide it to any AI platform. Any credentials supplied by a client are stored securely, used only for the agreed purpose, and deleted on request. Clients may change their passwords or withdraw access at any time; where access is withdrawn, Rizon Maps AI may be unable to provide support for that account.

Where mail is forwarded to a client-owned account with a third-party provider, that account is governed by the provider's own terms and privacy policy, and its content, storage and security are the client's responsibility. Configuration data such as address routing and alias records is retained only for as long as the hosting service remains active.

11. Identity Verification Data

As part of the purchase and onboarding process, Rizon Maps AI collects business identification information — including business name, website address and contact details — to verify that the purchasing party is the legitimate owner or authorised representative of the business for which services are being purchased.

This information is processed under Rizon Maps AI's legitimate interest in preventing fraudulent transactions and protecting the integrity of the platform and of legitimate business owners. Where fraud or impersonation is reasonably suspected, Rizon Maps AI may retain and share relevant identification and transaction data with appropriate authorities in accordance with applicable law.

12. Data Retention

Rizon Maps AI retains personal information only for as long as necessary to deliver purchased services, comply with legal and financial record-keeping obligations, and resolve disputes or enforce agreements. Different types of information are kept for different periods:

Trade-in photographs — 7 days. Permanently deleted seven days after the enquiry arrives. Automatic, and not dependent on anyone requesting it.

Trade-in enquiry records — the written details of an enquiry are kept in the dealership's account for as long as that account remains active, so the dealership has a history of who contacted them.

Vehicle listings and listing photographs — kept for the duration of the subscription. If a subscription ends, they are retained for 30 days before permanent removal.

Suspended accounts (non-payment) — where a subscription lapses, the website is taken offline but data is not deleted, so service can be restored if the account is brought up to date.

Free trial data — websites, vehicle listings, uploaded photographs and enquiry data created during a trial are permanently removed within 30 days of the trial ending, unless the client proceeds to a paid plan.

Email configuration and hosting records — retained for the duration of the active service period, then removed after a reasonable transition period.

Client account and financial records — 7 years after service completion, in accordance with Australian accounting and legal compliance requirements.

Clients may request deletion of their personal data at any time, subject to Rizon Maps AI's legal obligations to retain certain records.

13. Data Security

Rizon Maps AI implements reasonable technical and organisational measures to protect personal information from unauthorised access, loss, misuse, alteration or disclosure. These include:

  • Secure HTTPS connections on all Rizon Maps AI web properties;
  • Password-protected portal and dashboard access, with passwords stored only as one-way hashes and never in readable form;
  • Restricted administrative access controls;
  • Regular security monitoring and automated backups;
  • Sensitive files, including account credentials and trade-in enquiry data, stored outside the public web directory;
  • Trade-in photographs accessible only to the signed-in dealership they belong to;
  • Uploaded images re-encoded on receipt, removing embedded metadata.

While Rizon Maps AI takes data security seriously, no online system or internet transmission is entirely immune to risk. Clients are encouraged to use strong, unique passwords and to notify Rizon Maps AI promptly at support@rizonmaps.com.au if they suspect any unauthorised access.

Files and images submitted through a trade-in enquiry are stored for a limited period, for the sole purpose of allowing the dealership to review them, and are not retained afterwards.

14. Legal Pages & Client Website Policies

Where Rizon Maps AI includes standard Terms & Conditions or Privacy Policy templates within a client's website as part of deployment, those templates are provided for structural purposes only and do not constitute legal advice. The data handling practices described in a client's website policies are entirely the client's responsibility.

Rizon Maps AI is not a data controller in relation to the client's own website visitors or end users. Clients are solely responsible for ensuring their website's legal pages accurately reflect their own business practices and comply with applicable laws in their jurisdiction, and are encouraged to obtain independent legal advice where required.

15. International Data Transfers

Rizon Maps AI operates from Australia and serves clients internationally. Personal information collected may be stored or processed in Australia or in countries where Rizon Maps AI's third-party infrastructure providers operate, including the United States and the European Economic Area.

Where personal information is transferred internationally, Rizon Maps AI takes reasonable steps to ensure appropriate safeguards are in place in accordance with applicable privacy laws. For clients located in the European Union or United Kingdom, Rizon Maps AI relies on recognised transfer mechanisms including standard contractual clauses or equivalent safeguards where required under GDPR.

By using Rizon Maps AI services, clients consent to the transfer, storage and processing of their personal information in accordance with this policy.

16. Client Rights & Privacy Requests

Rizon Maps AI recognises and respects the privacy rights of individuals in all jurisdictions. Depending on applicable law, the following rights may apply:

  • Right of access — to request a copy of personal information held;
  • Right to correction — to request correction of inaccurate or incomplete information;
  • Right to deletion — to request deletion, subject to legal retention obligations;
  • Right to restriction — to request that processing be limited in certain circumstances;
  • Right to data portability — to receive personal data in a structured, commonly used, machine-readable format;
  • Right to object — to object to processing for certain purposes, including direct marketing;
  • Right to withdraw consent — where processing is based on consent, to withdraw it at any time without affecting the lawfulness of prior processing.

To exercise any of these rights, submit a written request to support@rizonmaps.com.au. Rizon Maps AI will respond within 30 days of receipt. Where a request cannot be fulfilled due to legal obligations, a clear explanation will be provided.

If your request relates to a trade-in enquiry, please see Section 7 — the dealership you contacted holds that information and decides what happens to it, so contacting them directly is usually the fastest route.

Individuals who believe their privacy rights have been infringed may lodge a complaint with the relevant authority:

  • Australia: Office of the Australian Information Commissioner (OAIC) — oaic.gov.au;
  • New Zealand: Office of the Privacy Commissioner — privacy.org.nz;
  • European Union / United Kingdom: the relevant national data protection authority;
  • United States: the relevant state attorney general's office or the Federal Trade Commission (FTC), depending on applicable state law.

17. Children's Privacy

Rizon Maps AI services are sold exclusively to business clients and adults aged 18 years and over. Rizon Maps AI does not knowingly collect, store or process personal information from individuals under 18 as clients.

Trade-in enquiry forms are public. Rizon Maps AI does not verify the age of a person submitting a trade-in enquiry through a dealership's website, and does not ask for it. Where Rizon Maps AI becomes aware that an enquiry was submitted by a person under 18, it will be removed on request from that person, a parent or guardian, or the dealership. Any photographs submitted are in any case deleted automatically after seven days.

If a parent or guardian believes their child's information has been submitted to Rizon Maps AI, please contact support@rizonmaps.com.au.

18. Changes to This Privacy Policy

Rizon Maps AI may update this Privacy Policy from time to time to reflect changes in business practices, services offered, applicable laws or regulatory requirements. The updated version will be published on the Rizon Maps AI website with a revised last-updated date at the top.

Where changes are material, Rizon Maps AI will make reasonable efforts to notify active clients by email before the changes take effect. Continued use of Rizon Maps AI services after an updated Privacy Policy has been published constitutes acceptance of the revised terms.
